Organizing outdoor events is becoming a popular trend nowadays with many benefits such as large spaces, high capacity, ... However, it comes with risks and drawbacks, among which weather is a significant factor. Let's share some experiences to keep in mind when encountering bad weather.

Choosing an appropriate date
Event risks are usually divided into two types: subjective causes and objective causes. Weather is often considered an objective cause that we cannot control. However, in reality, we can predict the weather. To ensure the event day doesn't face weather risks, proactively contact a reputable weather forecast center for the best plan.

 

Equipping rain and storm protection gear
Electronic equipment such as sound systems, screens, projectors, lighting, ... need to be carefully preserved and elevated higher than ground level. At the same time, high-power electrical cabinets also need to be shielded to prevent rainwater from causing electrical short circuits leading to fires or dangers for event participants. You should also equip water pumps and drainage systems for cases of heavy rain and storms that may flood your event area.

Assigning staff to specific areas
When unexpected weather occurs, it can easily lead to audience loss of control and chaos. To mitigate this, you need to assign staff or collaborators to manage each area for a smoother event process, avoid work overlap, maintain order, and facilitate easier control.

 

Always prepare a Plan B
Plan B is something that every event organizer must outline before organizing an event. Because besides weather factors, there are countless other risks that can occur affecting the program you organize.
